How membership cards work on an Avistra website

Every member on your site can have a membership card: a card in their account, in your colors, with a code anyone can scan to check they are a member. It is proof of membership for a discount at a partner business or entry to a members' event. It is not an ID, and scanning it tells the person checking nothing except whether the membership is current. This note covers turning cards on, what a member sees, what a scan shows, and printing cards for members who do not use a phone. Changing card settings and printing cards needs your passkey. Signed in with only the emailed code, those parts ask you to set up a passkey or use it first. How to set up a passkey on an Avistra website walks through it.

Turning cards on

Choose Dashboard in the bar in the lower right, then Membership on the left, then Settings, and find Membership card.

  • Members have a membership card. Tick it and every Active member has one.
  • Show on the card: Level and Member since are on to start with. Member number is off; turn it on and say what the number starts with. Photo is off, and is used only if a member has added one.
  • Card colors: Use the site's colors, or Navy and parchment.
  • Show the photo when a card is checked. Off unless you turn it on, so whoever scans a card can compare the face with the person in front of them.

A preview of a sample card shows how it will look as you change these. Choose Save.

Turning cards on: under Membership, then Settings, tick Members have a membership card. Choose what is shown on it, turn on a member number and say what it starts with, and pick the colors; the sample card beside the settings follows every change.

What a member sees

In Your account, an Active member has Membership card. The card carries your organization's name and logo, their name, their level if you show it, and the date it runs to, such as "Active until September 25, 2027". The code sits in the corner.

  • Print gives them the card at its real size, with cut marks, and nothing else on the page.
  • Save as a picture saves it to their phone or computer, to show at the door.
  • Replace my card is for a card that was lost or shared. The new card has a new code and the old one stops working at once.

A member whose renewal is due still has a card, which says so. Somebody whose membership has ended has no card, and their account offers to renew instead.

What a member sees: in Your account, Membership card shows the card with their name, their level, the date it runs to and the code in the corner, and Print, Save as a picture and Replace my card under it. Print gives the card at its real size with cut marks and nothing else on the page.

What a scan shows

The code opens a page on your site that says what is true at that moment, in one of four ways:

  • Active member, with their name, level and the date it runs to.
  • Renewal due: still a member, for now.
  • Membership ended, and when.
  • Not recognized: the code is not one the site knows. The card may have been replaced.

Every check shows the time it was made, so a screenshot of an old check is easy to spot. The page never shows an email address, a phone number or a home address, and it shows a photo only if you turned that on. Anybody can scan a card; there is nothing to install and nobody to sign in.

Cards for members without a phone

Some members would rather have a card in the mail. Membership admins and full admins can print a card for one member, with an optional short letter above it, or print cards for many members at once, ten to a sheet of Letter paper. Anybody without an active membership is skipped, and the page says how many. Printing is recorded, because the cards carry people's names.

Who can do this

Full admins and Membership admins change card settings and print cards. An admin who can look at everything sees the settings and changes nothing. Members look after their own card from their account.
