Managing sponsors and packages

Sponsorship has its own place in the Dashboard. Sponsor organizations do not become members, and choosing a sponsorship package does not register anybody for an event. That separation keeps the point of contact, package and payment together without mixing them into your membership list or a conference roster.

Open Sponsors

Sign in and choose Dashboard in the bar in the lower right. Choose Sponsors, immediately below Membership in the list on the left.

There are two sections:

  • Sponsor records keeps each organization, its point of contact, package, status, dates, agreed amount, paid amount and notes.
  • Packages is where you set the choices shown on the sponsorship page, including the name, price, description and benefits.

Set up the packages

Open Packages and choose New package. Give it a name and amount, describe it in a sentence, and put each benefit on its own line. Leave Available on the sponsorship page checked when people should be able to choose it. Clear it when you want to keep the package in your records without offering it to new sponsors.

Changing a package does not rewrite old sponsorships. A sponsor record keeps the package name and agreed amount it had when it was made, so history still makes sense after next year's packages change.

Add a sponsor

Open Sponsor records and choose New sponsor. Add the organization and its point of contact, choose the package, and set the agreed amount and status. The amount starts with the package price but can be changed for a custom agreement.

The point of contact is part of People because there should only be one record for a human. The sponsorship itself belongs to the organization and remains separate from that person's membership.

Keep track of payment

When someone chooses a package from the public sponsorship page and pays by card, the sponsor record moves from Awaiting payment to Active, and the amount appears in Payments as Sponsorship.

For a check, cash or bank transfer, open the sponsor record and choose Record a payment. The record shows how much has been paid and how much remains due. Partial payments can be recorded one at a time.

Events are separate

A package can include conference registrations, exhibit space or recognition at an event. Those are benefits of the sponsorship, not the sponsorship record itself. Add the attendees to the event when their names are known; do not make the sponsorship package an event ticket.

If you get stuck

Choose Support request in the bar and tell us which sponsor or package needs attention. How to submit a support request on an Avistra website shows how.
